These Birthday Party Terms & Conditions for Flamingoo Soft Play Café explain the rules that apply when you book a birthday party with us.

Flamingoo Soft Play Café operates an indoor soft play centre for children and families. Birthday party bookings include reserved party time, preparation, access to the venue facilities, and any agreed extras such as decorations or food arrangements.

By making a birthday party booking, you confirm that you have read, understood and accepted these Birthday Party Terms & Conditions, together with our Play Rules and any other applicable venue policies.

If you do not agree with these Terms & Conditions, please do not make a booking.

When is my booking confirmed? Your booking is only confirmed once the required 50% non-refundable deposit has been received.

Is the deposit refundable? The deposit is non-refundable if you cancel your booking. It will only be refunded if Flamingoo is unable to provide the booked party due to circumstances entirely within our control.

Can I change my party date? A party booking may be transferred once only to another available date, provided the request is made at least 14 days before the original party date.

Can I bring my own cake? Customers are welcome to bring their own birthday cake. Outside drinks, snacks, entertainers, decorators or suppliers require prior approval from Flamingoo management.

Who supervises the children? Parents and guardians remain fully responsible for supervising children throughout their visit.

These Birthday Party Terms & Conditions apply to all birthday party bookings made with Flamingoo Soft Play Café.

By making a booking, you confirm that you have read, understood and accepted these Terms & Conditions together with our Play Rules and General Terms & Conditions.

All guests attending the party must follow Flamingoo’s Play Rules, safety notices and staff instructions at all times.

  1. BOOKING CONFIRMATION

A birthday party booking is only confirmed once the required 50% non-refundable deposit has been received.

Until the deposit has been paid, your booking remains provisional.

Flamingoo reserves the right to cancel any provisional booking that has not been secured with a deposit.

  1. DEPOSIT

A 50% non-refundable deposit is required to secure all birthday party bookings.

The deposit reserves your chosen date and time and covers administration and preparation costs.

Payment of the deposit confirms that you accept these Birthday Party Terms & Conditions.

  1. DEPOSIT REFUND POLICY

The deposit is non-refundable if the customer cancels the booking.

The deposit will only be refunded if Flamingoo is unable to provide the booked party due to circumstances entirely under our control.

If the customer cancels the party for any reason, the deposit will be forfeited and cannot be refunded.

  1. CHANGES TO BOOKINGS

A booking may be transferred once only to another available date.

Requests to change the party date must be made at least 14 days before the original party date.

The deposit will be transferred to the new booking but remains non-refundable.

Requests received less than 14 days before the party date will be considered at Flamingoo’s sole discretion and subject to availability.

If the original party date cannot be re-booked by another customer, the deposit will be forfeited and cannot be refunded.

  1. FINAL PAYMENT

The remaining balance must be paid on the day of the party.

Cash payment is preferred where possible.

Flamingoo reserves the right to request payment before or during the party where necessary.

  1. GUEST NUMBERS

Final numbers of both children and adults must be confirmed 24 hours before the party.

Due to venue capacity limits, Flamingoo cannot guarantee entry for additional adults who have not been confirmed in advance.

Flamingoo reserves the right to refuse entry to guests exceeding the confirmed numbers.

  1. LATE ARRIVAL

Parties start and finish at the booked times.

Late arrival will not extend the duration of the party.

Any extension is entirely at Flamingoo’s discretion and may be subject to additional charges.

  1. PARTY DECORATIONS

Party decorations are available as an optional extra for £30.

The decoration package includes balloons, themed decorations and party room styling.

All decorations, balloon displays, backdrops, stands and decorative equipment remain the property of Flamingoo and are not included in the purchase price.

Customers must not remove Flamingoo’s decorative equipment from the venue.

  1. FOOD AND ALLERGIES

The party organiser must inform Flamingoo of any food allergies, intolerances or dietary requirements before the party.

We cannot guarantee that last-minute dietary requests can be accommodated.

Customers are responsible for ensuring that Flamingoo has been informed of any relevant allergy or dietary information before the party takes place.

  1. OUTSIDE FOOD, DRINKS AND SUPPLIERS

Customers are welcome to bring their own birthday cake.

Outside drinks and snacks may only be brought into the venue with prior approval from Flamingoo management.

External entertainers, decorators or other suppliers are not permitted unless previously approved by Flamingoo management.

Flamingoo reserves the right to refuse access to any external supplier who has not been approved in advance.

  1. SUPERVISION

Parents and guardians remain fully responsible for supervising children throughout their visit.

Children must not be left unattended at any time.

All guests must follow Flamingoo’s Play Rules, safety notices and staff instructions at all times.

Flamingoo accepts no responsibility for any child who is not appropriately supervised.

  1. DAMAGE

The party organiser is responsible for any deliberate, reckless or negligent damage caused by members of their party.

Flamingoo reserves the right to charge the reasonable cost of repair, replacement or additional cleaning where necessary.

This applies to damage caused to play equipment, furniture, decorations, facilities, toys or any other Flamingoo property.

  1. FLAMINGOO’S RIGHT TO CANCEL

Flamingoo may cancel a booking if the required payment has not been received, false or misleading booking information has been provided, safety requirements are not accepted, or the venue cannot safely operate due to circumstances beyond our reasonable control.

If Flamingoo cancels a booking for reasons within our control, we will offer an alternative date or refund any payments due.

Where a booking is made less than 14 days before the scheduled party date, the 50% deposit remains non-refundable. If the booking is cancelled by the customer for any reason, the deposit will be forfeited and cannot be refunded or transferred to another date.

  1. PERSONAL BELONGINGS

Flamingoo accepts no responsibility for any personal belongings that are lost, stolen or damaged whilst on the premises.

Customers are responsible for keeping their own personal belongings safe at all times.

  1. EXCLUSIVE PARTY EXTENSION POLICY

If you wish to extend your exclusive party, you must inform us at least one hour before the scheduled end of your party.

This is because our cleaning team is scheduled to arrive after the party, and we need sufficient notice to rearrange their attendance.

If no extension has been agreed in advance, the party must finish and all guests must leave the venue by the agreed end time.

If your exclusive party is booked to finish at 8:30 pm, the venue must be vacated by 8:30 pm.

If the venue is not vacated by the agreed finishing time, an additional charge of £40 for every 15 minutes, or part thereof, will apply.

  1. FORCE MAJEURE

Flamingoo shall not be liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond its reasonable control.

This includes, but is not limited to, fire, flood, severe weather, power failure, industrial action, government restrictions, pandemics, or any other unforeseen event.

In such circumstances, Flamingoo will make reasonable efforts to offer an alternative party date where reasonably possible but shall not be liable for any additional losses or expenses incurred by the customer.
